Lead Routing

One definition of who owns an account, a contact or an action, and why. Not routing logic buried across CRM workflows and spreadsheets, but your GTM system's memory: inspectable rules that assign with the reason attached, and that improve when they get overridden.

The moments ownership is decided, and what decides it

Routing is unglamorous until it goes wrong, and then it is the reason a good account sat untouched for a fortnight. The difference that matters is whether the rep on the receiving end can actually go and read the rule that assigned it to them.

A new account is created

Assigned by CRM workflow

A rule someone wrote two years ago fires. Nobody currently working here can say what it checks.

An inferred owner

A model guesses who should take it. Ownership is an accountability question, and inference is not accountability.

Assigned by an approved rule

The account is routed against an approved rule set, and the assignment arrives with the specific rule and the evidence that matched it.

Two rules disagree

Whichever system runs last

Conflicting logic in different tools resolves by accident, and the outcome depends on execution order.

A confident tie-break

The conflict is resolved smoothly and invisibly, which makes it harder to notice that the rules are contradicting each other.

The conflict is surfaced

One approved rule set means a genuine clash becomes an exception RevOps can see and rule on, rather than a silent coin toss.

A rep queries their assignment

Ask someone in operations

Answering means opening the workflow builder. Most people give up and work the account.

A plausible explanation

A generated rationale for an assignment the model did not actually make. It sounds right and proves nothing.

The reason travels with it

The rule version and the matching evidence are attached to the assignment, so the answer takes seconds and needs nobody.

Territories change

A migration project

Rules are rewritten across several systems by hand, and the ones nobody remembers stay exactly as they were.

Faster edits, same sprawl

Changes get made more quickly in each place. The logic is still in several places.

One rule set, one version

The routing rules are changed once, approved and versioned, so every capability assigns on the new version from the same moment.

An assignment gets overridden

The override teaches nothing

A manager reassigns the account by hand. The rule that got it wrong stays exactly as it was.

Corrected, not learned from

The fix is quick and the pattern of fixes is invisible, so the same rule keeps producing the same problem.

Overrides become rule evidence

Each override is recorded against the rule that produced it, so a cluster of them becomes a case for changing it.

Talk to us
What is lead routing memory?

One approved definition of ownership: the territory, segment, role and account rules that determine who takes an account, a contact or an action, plus the escalation path when no rule fits. Every capability that assigns work reads that same definition.

How should AI route leads?

Deterministically, against rules you approved, rather than by inference. Ownership carries accountability and compensation, so a guess is the wrong instrument even when it is a good guess. The system applies the approved rules consistently and shows which rule fired.

How do you govern automated lead routing?

By making the rule set inspectable and every assignment traceable. RevOps can read the active rules without opening a workflow builder, see which rule matched and why, and review exceptions where no rule fits or two rules conflict, rather than discovering the problem through a complaint.

Why do routing rules drift?

Because they live in several systems and each change is made locally. Rules accumulate in CRM workflows, spreadsheets and individual tools, nobody owns the whole picture, and conflicts resolve by execution order. Holding routing as one versioned rule set is what stops that.

How is this different from suppression?

Suppression decides whether a commercial action may happen at all. Lead routing decides who owns it once suppression has allowed it to proceed. Suppression is evaluated first and can block outright; routing never overrides a block, it only assigns what suppression already allows.
